Overview
How it works
Most small businesses have the information they need. It is just spread across an inbox, a phone log, a spreadsheet, and someone's memory. Vyybe brings it into one dashboard that opens to the question that matters most: who needs a human touch right now?
The dashboard shows new requests, replies waiting on you, unfinished forms, calls, sent messages, and how your website is doing, with a clear status for each connection. It runs on the same records as your lead pipeline and follow-up, so the numbers match what actually happened.
Honesty is built into every screen. If a part of the system is not set up, the dashboard says so instead of showing a zero. Test messages are counted separately from live ones, and nothing is estimated or filled in to look better. Scope and price are confirmed in writing after a short conversation.
What it looks like
A typical walkthrough
For example, here is how a landscaping company owner uses the dashboard on a weekday morning.
The summary arrives
At 7:00 a.m. the daily summary email lists yesterday's new leads, returning contacts, replies, opt-outs, and any failed sends. On a quiet day, no email is sent unless you asked for one.
Status at a glance
The owner signs in. Pills across the top show whether the AI, email, and texting are live or in dry-run, so it is clear what is actually sending.
The Follow Up list
The first tab lists everyone who needs a person, newest first: new requests, unfinished forms, and replies waiting for approval.
A reply needs you
A customer asked about price over email. The drafted reply is waiting in Needs You, where the owner edits it and sends it, or discards it.
Updating a request
In Requests, the owner moves a lead to Call Booked with a short note. The dashboard confirms the customer was notified by email.
Checking the week
The counts across the top show visits, requests, and the visit-to-request rate for the last seven days, alongside unfinished forms and calls.
Spotting a problem
In Analytics, the owner sees that people keep hitting a form error on the quote page, and asks us to fix the form.
Under the hood
How our system does it
Built on your real records
Every number comes from the stored leads, messages, calls, and website events in your system. Nothing is estimated, sampled, or filled in, and there are no example figures on a live dashboard.
Honest empty and disconnected states
A part of the system that is not enabled shows as not available, with the reason, never as a zero. An enabled part with no activity yet says so plainly, such as No requests yet.
Live and dry-run kept apart
Messages recorded in dry-run are counted separately from messages a live provider accepted. A connection marked configured means a credential was found. It does not claim the provider has accepted a message.
Test records excluded
Records created while we test your setup are marked synthetic. They are left out of your counts and reported as a separate number, so your numbers reflect real customers only.
A Follow Up list that leads with action
The first view merges new requests, unfinished forms, and replies held for approval into one list, newest first. Each item links to the request or the draft that needs you.
Failures you can see and replay
Failed jobs appear with the error that caused them, along with message outcomes and usage against your daily and monthly limits. We replay a failed job once the cause is fixed, and retries never send twice.
Privacy-minded website analytics
Visit and form data come from cookie-less analytics that honor Global Privacy Control and Do Not Track. You see form starts, submissions, and abandons, repeated clicks, form and script errors, devices, and referrers.
Staff-only access
The dashboard is behind a staff sign-in and is never indexed by search engines. Visitor-entered text is always shown as plain text, never run as code.

What it can do for you
Why it helps
Know where to start
Open one page and see exactly who is waiting on you.
Trust the numbers
Counts come from real records, with test data and dry-run messages kept apart.
Catch problems early
Failed sends and form errors show up where you can see them, instead of going unnoticed.
Better conversations with us
When we review your setup together, we are both looking at the same facts.
What you control
Your rules, your approvals
- Who on your team has dashboard access
- Whether the daily summary is sent, at what time, and on quiet days
- Who receives the daily summary and failure alerts
- Lead statuses and the notes customers receive with updates
- Approving, editing, or discarding held replies
- Daily and monthly usage limits shown on the dashboard
Who it's for
Is this a good fit?
- Owners who want one place to see leads, replies, and calls
- Businesses already using Vyybe assistants or follow-up that want a clear view of results
- Teams who want to see failures instead of finding out from a customer
- Owners who prefer real counts over impressive-looking charts
- Probably not the right fit if you need a full business intelligence suite across accounting, payroll, and inventory
How we work
From first conversation to live
Discovery
We ask what you check every day, what you wish you could see, and who needs access. Scope and price are confirmed in writing after this conversation.
Setup on your business profile
We connect the dashboard to your lead pipeline, messaging, calls, and website analytics, and set staff access, alert recipients, and the summary schedule in your business profile.
Test in safe mode
We run test leads and messages in dry-run and check that each one appears in the right place, marked synthetic and kept out of your counts.
Go live
We switch on live providers and walk you through each tab, so you know what every number means.
Ongoing review
We look at the dashboard with you, review failures and trouble spots, and adjust what is shown as your business changes.

FAQ
Questions owners ask
Where do the numbers come from?
From the records in your own system: leads, messages, calls, and website events. Nothing is estimated or filled in, and test records are left out.
What does it show if something is not connected?
It says so. A part that is not set up shows as not available with the reason, and connections show whether they are live or in dry-run. You never see a zero that really means no data.
Can I update leads from the dashboard?
Yes. Pick a new status, add an optional note, and the customer gets an update by email, and by text if they opted in. The dashboard tells you who was notified.
Does the website analytics use cookies?
No. It is cookie-less and honors Global Privacy Control and Do Not Track signals from visitors' browsers.
Do I get a summary without signing in?
Yes. A daily summary email covers yesterday's leads, replies, bookings, and failures. You choose the time, and by default it skips days with no activity.
Will the dashboard show results you promise?
No. We don't promise results. The dashboard shows what actually happened, so you and we can make decisions from real activity.
