Overview

How it works

Off-the-shelf software covers most of what a business needs, but often not the part that matters most. You end up copying data between systems, keeping a spreadsheet nobody else understands, or bending your process to fit a tool. Vyybe builds custom software for that gap: internal tools, integrations between the systems you already use, customer portals and workflows built to your requirements.

We start by understanding the job the software has to do. Then we write it up as a plain-language proposal with scope and price, confirmed in writing before any work starts. You know exactly what you are getting and what you are not.

We build with AI-assisted development and human review. Coding agents handle much of the repetitive work, and a person at Vyybe designs the system, reviews every change and tests it before you see it. You check each stage on a preview, and nothing reaches your team until you approve it.

The software runs on the same foundations as Vyybe's own agents: one validated business profile, separate data for each client, safe retries, and clear records of what happened. When it fails, it says so instead of pretending.

What it looks like

A typical walkthrough

For example, here is how a custom project goes for a landscaping company that tracks crew schedules, job notes and customer approvals across three different tools.

  1. Mapping the work

We sit down with you and the crew lead and walk through how a job moves from quote to finished. We note where information gets retyped or lost.

  2. A written proposal

You get a plain-language proposal: a simple job board that pulls in accepted quotes, shows each crew's week, and sends customers a link to approve changes. Scope and price are in writing.

  3. The first working preview

We build the core screens and share a preview with sample data. Your crew lead tries it on a phone and points out what is missing.

  4. Connecting your systems

We connect the tools you already use, such as your Outlook inbox or your CRM through a webhook. Test runs use dry-run mode, so no real customer gets a message.

  5. Testing with real cases

We run the edge cases you care about: a job rescheduled twice, a duplicate customer, a request sent while a connection is down. Each one has an automated test.

  6. Go live

Once you approve, your team starts using it. Each morning the crew lead opens one screen instead of three.

Under the hood

How our system does it

  1. One validated business profile

Your business details, services, hours, staff, routing rules and connected tools live in one validated configuration. The software checks it before running, and an error names the exact field to fix. Credentials are stored as references, never pasted into the configuration.

  2. AI-assisted build with human review

Coding agents write much of the code from a clear specification. A person at Vyybe designs the system, reviews every change and decides what ships.

  3. Preview links and safe mode

You review each stage on a private preview with sample data. Outbound messages run in dry-run mode during testing, so they are recorded for you to see instead of being sent.

  4. Automated tests on every change

Each feature comes with tests that run before any release, including edge cases like duplicates, retries and missing data. For anything with a web interface, we also run accessibility, mobile layout and link checks.

  5. Safe retries and duplicate protection

If a connection drops, the work waits in a retry queue and runs again without creating duplicates. Failures are visible on the dashboard, and a person can replay them once the cause is fixed.

  6. Honest results

Forms and actions only report success after the server confirms the work was done. If something fails, the screen says so, and the item is not marked complete.

  7. Separate data and kill switches

Each client's data is kept separate from every other client's. Any part of the system can be paused with a kill switch, which holds jobs safely instead of losing them.

  8. Optional connection to Vyybe's agents

Your custom software can feed Vyybe's chat assistant, follow-up sequences and AI phone receptionist, or receive the requests they capture. They share the same business profile, so the information stays consistent.

What it does

What it does

  • Internal tools

Job boards, trackers, checklists and admin screens that replace the spreadsheet only one person understands.

  • Integrations

Connections that move information between the systems you already use, so nobody retypes it.

  • Customer portals

A place where customers check status, approve changes or send documents without calling.

  • Workflows and automations

Rules that route requests, send consent-aware reminders and alert the right person.

  • Dashboards

One view of what needs attention today, built from your own data.

  • AI features with limits

AI that drafts, sorts or answers from approved information, and hands anything uncertain to a person.

  • Tests and documentation

Automated tests and plain notes on how the system works, so it is easy to change later.

What it can do for you

Why it helps

  • Less retyping

When your systems talk to each other, the same information stops being copied by hand.

  • Software that fits your process

You stop bending how you work to fit a generic tool.

  • Fewer things slipping through

Failed steps are visible and retried, so problems show up on a screen instead of in a customer's complaint.

  • Room to grow

Tested, documented code is easier to extend as your business changes.

  • A clear picture of the cost

You agree scope and price in writing before work starts, so there are no surprises.

What you control

Your rules, your approvals

  • The written scope, and approval of every stage before it goes live
  • Who on your team has access, and what each person can see
  • Which systems the software connects to, and with what permissions
  • The business rules: routing, reminders, limits and quiet hours
  • When to pause any part of the system with a kill switch
  • Your data and accounts, which stay yours

Who it's for

Is this a good fit?

  • Businesses whose key process lives in spreadsheets, sticky notes or someone's head
  • Teams copying the same information between two or more tools
  • Owners who want a customer portal or internal tool built around how they work
  • Probably not the right fit if an affordable off-the-shelf tool already does the job. We will tell you if that is the case.

How we work

From first conversation to live

  1. Discovery

We learn the job the software has to do and the tools it touches. Then we confirm scope and price in a written proposal.

  2. Setup on your business profile

We record your business details, rules and connections in one validated profile that the software reads.

  3. Build and test in safe mode

We build on private previews with sample data. Messages run in dry-run mode and automated tests cover each feature.

  4. Go live

After you approve, we switch on real connections and confirm the first real records flow correctly.

  5. Ongoing review

We watch failure queues and logs, fix what comes up, and plan any next features with you.

FAQ

Questions owners ask

How do you price a custom project?

Every project is scoped first. After a short conversation, we send a written proposal with scope and price. Nothing starts until you agree to it.

Can you connect to the software we already use?

Often, yes. We work with Microsoft 365 and Outlook, Twilio, and many CRMs through webhooks. We confirm each connection during discovery, before it goes into the proposal.

Who owns the code and the data?

You do. The data and accounts are yours, and ownership of the code is set out in your written proposal.

What happens when something fails?

The failed step goes into a retry queue and runs again without creating duplicates. If it keeps failing, it shows up on the dashboard so a person can fix the cause and replay it. Nothing is quietly marked as done.

Is AI writing all the code?

Coding agents write much of it from a clear specification. A person at Vyybe designs the system, reviews every change and runs the tests. You see the work on previews and approve it before it ships.

Can we change things after launch?

Yes. The code is tested and documented so it is easy to extend. You can pair a custom project with our continuous improvement service for ongoing changes.
